Shinwado Martial Arts Federation (“Shinwado,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the personal information you provide when you use shinwado.org (the “Website”) and related Shinwado membership services (collectively, the “Service”).

This Privacy Policy explains what information we collect, how we use and protect it, when we share it with third parties, and the choices and rights available to you.

By using the Service or creating a Shinwado account, you acknowledge that you have read and understood this Privacy Policy.

1. Information We Collect

The information we collect depends on how you use the Service and the type of Shinwado membership you have.

Supporter Members

When you create a Supporter membership, we may collect:

• Full name
• Martial arts style, if provided
• Mailing or street address
• Phone number
• Email address
• Account login information

Student and Instructor Members

When you create a Student or Instructor membership, we may collect:

• Full name
• Rank
• Martial arts style
• Mailing or street address
• Phone number
• Email address
• Name of the school at which you train
• Account login information

School Members

When you create a School membership, we may collect:

• Full name
• Rank
• Martial arts style
• Role at your school
• School name
• School address or location information
• School website
• School phone number
• School email address
• Description of the school
• School photograph or logo
• Account login information

Some information is optional. We collect only the information reasonably necessary to provide and administer the applicable membership and related services.

If you upgrade your membership, we may request additional information required for the new membership level. Information already associated with your account may be used to pre-fill applicable fields so that you do not have to enter the same information again.

Contact Form Inquiries

If you submit a message through our Contact form, we collect:

• Full name
• Email address
• Phone number, if provided
• The message you submit

This information is emailed directly to our team so we can respond to your inquiry. It is not associated with a Shinwado membership account unless you separately create one.

2. Information Made Public

The information displayed publicly depends on your membership type and the information you choose to provide for publication.

School Directory Listings

School members may choose to create a listing in the public Shinwado School Directory.

The School Directory information is entered and submitted by the School member. Shinwado does not independently collect this information for the purpose of creating the Directory listing.

Information that a School member enters and submits for its Directory listing may be displayed publicly, including:

• School name
• Martial arts style
• School description
• School logo or photograph
• School city, state, and ZIP code
• School address or other location information provided for the Directory
• School website
• School phone number
• School email address

The purpose of the Directory is to help members of the public discover Shinwado-affiliated schools and contact them.

Your personal mailing or street address is not automatically published simply because you provide it as part of your membership account. A personal address and the school address or location information submitted for a public Directory listing are treated separately.

If you choose to submit information for publication in the School Directory, that information may be viewed, copied, or distributed by others. You are responsible for ensuring that information you submit for public display is appropriate for publication and that you have the authority to provide it.

Other Membership Information

Information associated with Supporter, Student, and Instructor memberships is not publicly displayed through the Shinwado School Directory.

3. How We Use Your Information

We may use the information we collect to:

• Create and maintain your Shinwado account
• Provide and administer your membership
• Process membership payments
• Maintain membership records
• Process membership upgrades or changes
• Send account-related communications
• Send account activation and password-reset messages
• Confirm membership activity or changes
• Maintain and administer the School Directory
• Respond to questions, requests, or support inquiries
• Protect the security and integrity of the Website and our accounts
• Detect, prevent, and investigate fraud, abuse, or unauthorized access
• Comply with applicable legal obligations
• Maintain and improve the Service

We do not use your personal information to send marketing or promotional email unless we separately obtain your permission to do so.

4. Payment Information

Membership payments are processed by Stripe, a third-party payment processor.

Shinwado does not receive or store your full credit or debit card number. Payment card information is entered and processed through Stripe’s payment services.

We may receive limited transaction information necessary to administer your membership, such as:

• Payment status
• Payment amount
• Transaction date
• Membership purchased
• Email address or other information associated with the transaction
• Limited payment-method information provided by Stripe

Stripe processes payment information according to its own privacy practices and terms.

5. Traveling Dojo Accounts

Some members of The Traveling Dojo may have access to Shinwado Supporter membership using the same underlying user account.

When this occurs, the Shinwado membership and Traveling Dojo membership are associated with the same account rather than creating two separate user accounts.

If you have an existing Traveling Dojo account and do not separately register for Shinwado membership, we do not create or collect additional Shinwado-specific membership information merely because the account is eligible for Shinwado Supporter access.

Because these services may share an underlying account, actions affecting the account—including account deletion—may affect both services. We will provide appropriate notice before an account deletion that affects both services.

6. Email and Communications

We send certain communications that are necessary to operate your account and provide the Service.

These may include:

• Account activation messages
• Password-reset messages
• Membership confirmations
• Membership upgrade or change confirmations
• Account security notices
• Account deletion confirmations
• Other administrative communications relating to your account

Email delivery may be performed through MailChannels, a third-party email delivery service used through our hosting provider.

These account-related messages are not marketing communications.

7. Cookies and Similar Technologies

The Website uses cookies and similar technologies that are necessary for normal Website operation.

These may include session and authentication cookies that allow you to remain logged into your account and enable the Website to recognize your authenticated session.

We do not intentionally use advertising cookies or tracking technologies for behavioral advertising.

The Website may also use technical information generated by the hosting environment, WordPress, security systems, or other necessary Website components to maintain security, prevent abuse, troubleshoot problems, and operate the Service.

You can control cookies through your browser settings. Disabling necessary cookies may prevent certain account or Website functions from working properly.

8. Technical and Usage Information

When you visit the Website, certain technical information may be automatically processed by the Website, hosting provider, security systems, or other infrastructure necessary to operate the Service.

Business Transfers

If Shinwado or substantially all of its relevant assets are involved in a merger, acquisition, reorganization, financing, sale, or similar transaction, personal information may be transferred as part of that transaction, subject to applicable law.

• Provide and administer your membership
• Maintain appropriate membership records

• Resolve disputes

When personal information is no longer reasonably necessary for these purposes, we may delete or de-identify it, subject to applicable legal or operational requirements.

11. Account Deletion

You may delete your Shinwado account through your Profile page, when that functionality is available to you.

Deleting your account may permanently remove:

• Your account information
• Your uploaded photograph or other uploaded account content
• Your School Directory listing, if applicable
• Other personal information associated with the account

If your Shinwado account is shared with a Traveling Dojo account, deleting the account may also affect your Traveling Dojo account and associated services. We will provide a clear warning before you confirm an account deletion that has this effect.

We may retain certain information when necessary to comply with legal obligations, resolve disputes, prevent fraud or abuse, maintain security, or otherwise satisfy a legitimate legal or operational requirement.

12. Your Privacy Choices and Rights

You can review and correct most of your account information at any time by logging in and visiting your Profile page. You can delete your account entirely from the same page — see the Account Deletion section above.

Depending on where you live and applicable law, you may also have additional rights concerning your personal information, which may include the right to:

• Know whether we process personal information about you
• Request access to personal information we maintain about you
• Request correction of inaccurate personal information
• Request deletion of personal information
• Request information about how your personal information is used or disclosed
• Limit certain uses or disclosures of personal information where applicable
• Withdraw consent where processing is based on consent

We do not sell personal information or use it for targeted advertising, so there is nothing to opt out of in that respect.

For anything not available directly through your Profile page, you may exercise these rights by contacting us using the information in the Contact Us section below. We may need to verify your identity before completing certain requests.

We will not discriminate against you for exercising privacy rights available to you under applicable law.

13. Children’s Privacy

Shinwado recognizes that many martial arts students are children. The Service itself, however, is an administrative membership and directory tool intended for use by adults — instructors, school owners, or parents and guardians registering or maintaining membership information on a student’s behalf.

The Website is not designed or intended for children to independently create their own accounts or provide their own personal information without a parent, guardian, or instructor’s direct involvement. Our signup process does not knowingly collect personal information directly from a child acting on their own.

If a parent or guardian believes their child has provided us with personal information without appropriate involvement, please contact us using the information in the Contact Us section below, and we will take appropriate steps to review and, where warranted, remove that information.

Parents and legal guardians may also contact us at any time to:

• Ask what personal information we have collected in connection with their child
• Request access to that information
• Request correction or deletion of that information

14. Security

We take reasonable administrative, technical, and organizational measures designed to protect personal information against unauthorized access, alteration, disclosure, or destruction.

However, no method of transmission over the Internet or method of electronic storage can be guaranteed to be completely secure. Accordingly, while we strive to protect your personal information, we cannot guarantee its absolute security.

15. Third-Party Websites

The Website may contain links to websites or services operated by third parties.

If you follow a link to another website, that website’s privacy policy and practices will apply. Shinwado does not control and is not responsible for the privacy practices, security, or content of third-party websites or services.

We encourage you to review the privacy policy of any third-party website you visit.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our practices, services, technology, or applicable legal requirements.

When we make changes, we will update the “Last updated” date at the top of this Privacy Policy.

If we make a material change to the way we use personal information, we may provide additional notice through the Website, by email, or by another appropriate method.

We encourage you to review this Privacy Policy periodically.
